Overview

Factorial is an all-in-one human resources platform for small and mid-sized businesses, built in Barcelona and focused primarily on European labor rules and administrative practice. It was founded in 2016 by Jordi Romero, Bernat Farrero and Eric Lluca, and it serves companies roughly between twenty and a few hundred employees that need to replace spreadsheets, email approvals and paper forms with one system. The core buyer is an operations or HR lead in Spain, Portugal, France, Italy, Germany, the Netherlands or the United Kingdom, often without a large people team.

The employee database is the base layer. Every worker has one record holding personal details, contract type, start date, department, manager, location, salary information, documents and custom fields. Reporting lines drive approvals and permissions throughout the rest of the product, and an organization chart is generated from that data. Keeping a single source of truth is what makes the other modules usable, since absence balances, shifts and documents all read from the same records.

Time off and absence management is the module most customers adopt first. Employees request vacation, sick leave, parental leave or unpaid time from a web portal or mobile app, managers approve from a queue or by email, and balances update automatically against entitlement rules configured per contract type, country or seniority. Public holiday calendars are maintained per country and per office, and the system enforces rules such as minimum notice, carryover limits and approval chains. For European employers this replaces the most common source of HR email traffic.

Time tracking is legally significant in several Factorial markets. Spain has required a daily working-time register since 2019, and similar obligations exist in Italy and elsewhere. Factorial provides clock-in and clock-out through the web app, the mobile app with geolocation options, kiosks or shared devices, plus timesheet entry for project-based work. Records are exportable in the format an inspector would request, and overtime is calculated against contracted hours.

Shift scheduling covers businesses with rotas, including hospitality, retail, healthcare, logistics and manufacturing. Managers build recurring or ad-hoc shifts, publish rotas that employees see instantly on their phones, handle swap requests with manager approval, track worked hours against the plan and manage availability and time-off constraints while assigning. Conflict detection prevents double-booking and understaffing, and the resulting hours feed into time tracking and payroll preparation.

Document management turns HR paperwork into a controlled process. Contracts, amendments, policies, pay slips and certificates are stored against the employee record, generated from templates with merge fields, distributed for review and signed electronically inside the platform. Expiry tracking flags documents that need renewal, which matters for certifications, work permits and probationary paperwork. Version control and access permissions keep the archive auditable.

Onboarding and offboarding use configurable task checklists. A new hire triggers document requests, equipment provisioning, training assignments, account creation reminders and a welcome sequence, with progress visible to HR and the hiring manager. Offboarding runs the reverse, capturing exit documents, asset return, access revocation and an exit survey. Templates can differ by role, department or country.

Performance and engagement features extend the platform beyond administration. Review cycles support self-assessment and manager assessment, peer feedback and goal tracking, and surveys measure engagement with results reported by team. These modules are newer and less deep than specialist products, and Factorial positions them as part of a complete HR system rather than as a standalone performance suite.

Recruiting is included as an applicant tracking module with job postings, a career page, candidate pipelines, interview scheduling, evaluation forms and offer handling. It is designed for companies hiring a modest number of roles each year rather than for large recruiting teams running structured hiring programs with hundreds of requisitions.

Payroll integration is handled in two ways depending on country. Factorial prepares payroll-ready exports with salaries, absences, overtime and bonus data formatted for local payroll bureaus and software, and it stores distributed pay slips. The company also offers its own payroll service in some markets. Buyers should confirm current country coverage directly with the vendor, since payroll capability varies substantially by jurisdiction and changes over time.

The competitive difference is regional fit and breadth at a small-business price. Personio is the closest rival and is stronger in Germany and Central Europe, while HiBob targets larger organizations with more sophisticated people analytics. BambooHR and Rippling dominate the United States market with different payroll assumptions. Factorial's advantage is that absence rules, holiday calendars, working-time registers, contract templates and legal documents are configured for Southern and Western European labor practice out of the box, and that the product covers shifts and deskless workers, which many HRIS products handle poorly.

Pricing is quoted per employee per month on an annual contract, and it is modular, so the total depends on which capabilities a company licenses. There is no published rate card and no permanent free plan, though a free trial is offered. Reported entry prices have commonly been in the range of a few euros per employee per month for core HR, with additional cost for shifts, recruiting, performance, payroll services and advanced reporting. Those numbers vary by country, headcount and negotiation, and should be verified on the vendor page before budgeting.

Limitations deserve attention. Reporting is adequate for operational HR but less flexible than a dedicated analytics product, and complex custom analysis often requires export. Performance, engagement and recruiting modules are functional rather than best-of-breed. Payroll is integration or bureau-based in many countries rather than native, so accuracy depends on the external provider. Very large organizations with complex entities, custom workflows and global compliance needs will outgrow it. Data migration in and out requires planning.

Factorial fits European small and mid-sized businesses between twenty and five hundred employees that need time off, time tracking, documents and onboarding consolidated in one place, especially those with shift-based or deskless staff and multi-country obligations. It fits companies where one or two people run HR alongside other duties.

It does not fit enterprises over a few thousand employees, organizations that need deep performance management or compensation planning, or United States companies whose payroll and benefits requirements are better served by domestic platforms.

Compared with alternatives, Factorial trades feature depth for administrative coverage and local compliance. Personio is the direct competitor with similar breadth and stronger German-market positioning. HiBob and Lattice serve larger companies wanting people analytics and performance depth. BambooHR and Gusto fit United States small businesses. Factorial is the pragmatic choice for a European SME that wants its HR paperwork, hours and absences under control without buying four separate tools.
