Here is a practical framework for deciding when to upgrade: (1) You are manually exporting data between tools more than once a week. (2) You cannot see who on your team contacted a lead last. (3) You are losing deals because follow-ups fell through the cracks. (4) Your contact list exceeds the free tier cap. (5) You need custom fields or workflows specific to your sales process.

If two or more of these apply, the cost of a paid CRM is almost certainly lower than the revenue you are losing from disorganized pipelines. Most paid CRMs offer 14-30 day trials — test with real data before committing.
